Subscription Cancellation, Refunds & Account Management Policy

1. Subscription Cancellation

You may cancel your Accessify AI subscription at any time through your account dashboard or by emailing our support team.

Monthly Billing Plans

  • Cancellation timing: Immediate upon request
  • Access: Continues until the end of the current billing period
  • Future charges: No additional charges after cancellation
  • Refunds: Pro-rata refund for unused days in the billing cycle
Example: If you cancel on day 15 of a 30-day billing cycle on a $79.99/month plan, you will receive a refund for the remaining 15 days (approximately $40).

Annual Plans (Billed Monthly with Annual Commitment)

  • Notice requirement: 30 days written notice via email
  • Access end date: 30 days after we receive your notice
  • Discount terms: Annual plans include a 15% discounted rate in exchange for a 12-month commitment
  • Refunds: Discounted annual fees are non-refundable
  • Payment obligation: Charges continue during the 30-day notice period

Pause option: You may pause your subscription for up to 90 days at no cost instead of canceling (see Section 3).

Example: If you cancel in month 8 of an annual plan, access continues through month 9 (notice period). No refund applies to unused discounted months.

2. Why Annual Plans Require 30 Days’ Notice

Annual plans offer a 15% discount compared to monthly pricing. The notice period:

  • Reflects standard B2B SaaS practices
  • Aligns with enterprise budgeting and compliance cycles
  • Allows time for data export and workflow transitions
  • Ensures fair use of discounted pricing

Monthly Plans

Monthly subscriptions can be canceled immediately with no notice period.

3. Pause Your Subscription (Recommended)

You may pause your subscription once per billing year for up to 90 days, free of charge.

Why Pausing Helps

  • Your data and reports remain intact
  • No re-onboarding or reconfiguration required
  • Useful for seasonal or cyclical compliance needs
  • Budget flexibility without losing history

How to Pause

Email support@accessify-ai.com with your account details and desired pause duration. We’ll confirm the pause and resume date.

4. Refund Policy

Monthly Plans

  • Eligibility: Pro-rata refund for unused days
  • Calculation: (Unused Days ÷ Total Days in Billing Period) × Monthly Fee
  • Processing time: 5–7 business days
Example: $29.99 plan canceled on day 15 of 30 → approximately $15 refunded.

Annual Plans (With Monthly Billing)

  • No refunds on discounted annual pricing
  • You are charged only for:
    • Months already used
    • The 30-day notice period
Example: Starter Annual at a 15% discounted rate
4 months used + 1 notice month
Charges apply only for months used and notice period
No refund for remaining discounted months

5. Data Retention & Export

After Cancellation

  • Data access: Available for 30 days
  • Export formats: CSV, JSON, PDF

Deletion

  • All data is permanently deleted after 30 days
  • We do not retain, reuse, or sell customer data

6. During the Notice Period (Annual Plans)

You retain full access during the notice period:

  • Run scans
  • View and export reports
  • Access remediation guidance
  • Receive standard support

7. Why Immediate Annual Cancellation Isn’t Allowed

Annual plans are a mutual commitment:

  • You receive a 15% discounted price
  • We plan capacity and support accordingly

This structure aligns with standard B2B SaaS industry practices.

8. Refund Processing

  • Timeline: 5–7 business days
  • Method: Original payment method (PayPal)
  • Confirmation: Email confirmation upon processing

9. Special Situations

Plan Downgrades

  • No notice required
  • Effective next billing cycle
  • Pro-rata credit applied where applicable

Account Suspension (Non-Payment)

  • Reminders sent after missed payments
  • Suspension after 30 days of non-payment
  • Data retained for 30 days
  • Reactivation requires clearing dues

10. Disputes & Exceptions

If you believe a charge is incorrect:

We review cases on a best-efforts basis, typically within 3 business days.
